What we keep about you, why, and for how long — in plain language.

Guest registration

For a booking in Spain, every adult guest fills in a check-in form: first name, last name, date of birth, nationality, gender, document type and number, home address and — for a family — the relationship to the main booker. This isn't our own choice: Real Decreto 933/2021 requires reporting to the Ministerio del Interior within 24 hours of booking and within 24 hours of arrival.

We keep that data for 3 years after your departure, as required by law, and then anonymise it rather than deleting it — so our occupancy statistics stay accurate without any name attached anymore.

If you photograph your passport or ID card to have the form filled in automatically, that photo is read by Claude, Anthropic's language model. We don't keep the photo itself: after reading it, we discard it and only the filled-in fields remain, which you can still correct before signing. You're also welcome to fill in the form by hand, without a photo.

This reporting requirement doesn't apply to the house in Ireland — there's no police registration of guests there. However, since the European regulation became mandatory in May 2026, a registration number appears on the listing of every house, in Spain and in Ireland.

Booking and payment

To book, we ask for your name, email address and phone number, and the details of your stay: the house, the dates and the number of guests.

Payments go through Stripe, a payment processor based in Ireland and the United States. We never see or store your card details ourselves — they go straight to Stripe, outside our system.

Your booking details remain part of our records, even after your stay.

Email

Confirmations, payment reminders and other messages about your booking are sent via Resend. We keep a log of what has been sent — type, time, status — and keep the full content of an email for ninety days after sending, so we can look into a question about your stay. After that we delete the text; the fact that the email was sent remains on record.

Some emails open with a personal paragraph, written by Claude. It only includes your first name, along with a general description of the season, length of stay and group — never an actual date, an amount, an address, a booking code or a link. Those fixed details always come from a template and never from the model; a separate check rejects any paragraph that still contains a number, a link or a month name, and a standard text is sent instead.

Contact form

If you send a question through the contact form, we keep your name, email address, phone number and message for a year. After that we delete the text of the message; the fact that a question was once asked remains on record.

Your message may be passed to Claude to help prepare a reply — always as a quote of what you wrote, never as an instruction to the model.

To prevent misuse of the form, we keep a hashed IP address, never the address itself.

Newsletter

Only with your explicit consent — a box you tick yourself at check-in — do we add you to our list for news and offers. We keep the exact text you agreed to, as proof of that consent.

You can unsubscribe at any time via the link at the bottom of such an email; we process that automatically.

Visitor statistics

We measure visitor numbers with Umami, on our own server. Umami doesn't set cookies and doesn't record personal data, so no consent is needed for it.

What we do measure specifically are searches (dates, number of guests, which house) and completed bookings — without a name or any other personal data. We deliberately never send the unique code that takes you to your guest registration after paying along with the statistics.

Airbnb connection

Our houses are also listed on Airbnb. To avoid the same nights being sold twice, we only exchange occupied and available dates with Airbnb — no names, no amounts, no booking references.

If Airbnb forwards us a booking confirmation, we keep it until someone has reviewed it. There's no fixed retention period on it yet: for now it's raw material for a link that's still being built, not a register.

Who we share data with

Stripe processes your payment. Resend sends our emails. Anthropic (Claude) translates the website, writes the personal paragraphs in some emails, and — if you choose to use it — reads your ID document. Spain's Ministerio del Interior receives the legally required guest report via SES.HOSPEDAJES. Umami runs on our own server and never sees any personal data.

We never sell your data on, to anyone.

Your rights

You can always ask us what data we hold about you, have it corrected, or have it deleted. The legal retention period mentioned above applies to guest registration: we won't delete that data any sooner, not even on request.
